July Holiday – 12 and 15 July 2024

Please note the following Accounts Payable arrangements over the July holiday period for paying authorised Supplier Invoices, Request for Payments and Staff Expenses Claims:

  1. Requests for Payment, and Staff Expenses Claims, received on or before 12.00pm on Thursday 4 July 2024, and Supplier Invoices received before 5.00pm on Wednesday 3 July, and which have been authorised on or before Friday 5 July 2024, will be paid week-ending 12 July 2024.
  2. Authorised Supplier Invoices, which have been GRNd, Requests for Payment, and Staff Expenses Claims, received on or before 12.00pm on Wednesday 10 July 2024, will be paid week-ending 19 July 2024.
  3. Authorised Supplier Invoices, which have been GRNd, Requests for Payment, and Staff Expenses Claims, received after 12.00pm on Wednesday 10 July 2024, but before 5.00pm on Friday 12 July will be paid week-ending 26 July 2024.
  4. Normal payment arrangements will apply for all payment requests received from 15 July 2024.

University Financial Year End – 31 July 2024

It is important that the University's accounts record all the financial activity incurred during the period ended on 31 July 2024.

To ensure that expenditure is recorded correctly, all transactions relating to July 2024 and earlier periods should be sent to the Accounts Payable for payment by the cut-off dates listed below:

  • Request for Payments: 9 August 2024
  • Staff Expenses: 9 August 2024. All relevant Staff Expenses Claims, including follow-up queries in Workflow, must be authorised and cleared by this date.
  • P2P Invoices: It is important that all Goods and Services received prior to the 31 July 2024, relating to P2P orders beginning '58', be GRNd immediately on delivery in order that the related invoices, that are sent directly by suppliers to Accounts Payable, may be matched and processed for payment on receipt.

Further clarification of these arrangements, if required, may be obtained by contacting the Accounts Payable: accounts.payable@qub.ac.uk.

LAST CHANCE TO REGISTER TO VOTE

The General Election is taking place on Thursday 4 July 2024.

To vote in the election, you must be registered to vote.

The deadline to register to vote is 11.59pm on Tuesday 18 June 2024. If you are not yet registered to vote, you can register online. It usually takes about five minutes. You can check if you are registered to vote on the Electoral Office for Northern Ireland website.

GENERAL ELECTION 2024: HUSTINGS EVENT

Staff are invited to join the South Belfast and Mid Down General Election candidates for a Hustings event on Thursday 27 June at 12.30pm in The Cube, One Elmwood. This joint Civic Engagement and Students' Union event is your chance to engage with and question those vying to become the next MP for the University area.

The panel will be hosted by David McCann from Slugger O'Toole, and refreshments will be available.

Each year, the Strategic Communications Directorate showcases a selection of our graduands who have interesting stories to tell. In advance of the Summer Graduations, they would like your help to tell those stories.

GUIDANCE ON 2024 UK GENERAL ELECTION

Pre-election period

The pre-election period (formerly known as purdah) is the period of time between the time an election is announced and the date the election is held when specific restrictions on the activity of civil servants are in place.

While broadly universities are beyond the scope of these restrictions, there are instances where specific care should be taken with regards the use of public resources and the communication activities of public bodies, civil servants, and local government officials. If you have any questions, please get in touch with publicengagement@qub.ac.uk.

Key considerations for staff in Queen’s University Belfast

The University is impartial towards all candidates and political parties. It is important to ensure the University institutionally is acting, and being seen to act, impartially towards all candidates and political parties, and not seen to be influencing the election and its outcomes, whether inadvertently or intentionally.

Queen’s staff are obviously free to undertake political activism in a personal capacity and any activity should not involve the University brand or resources or inadvertently create the impression of Queen’s involvement or endorsement for any party or candidate.

Particular care should be taken over official support, and the use of public or University resources, including publicity, for government announcements that could have a bearing on matters relevant to the elections. The University can institutionally continue to speak and support issues that it has consistently highlighted and that are relevant to the University’s purposes but must do so in an independent and politically neutral way.

Special care should be taken in respect of paid publicity campaigns and to ensure that publicity is not open to the criticism that it is being undertaken for party political purposes.

Care should also be taken in relation to proposed visits. The same approach must be applied to all visit requests from candidates (as opposed to Ministers) to avoid any question of bias and this activity should be coordinated through the Public Engagement team.

There should also be even-handedness in meeting information requests from the different political parties and campaigning groups.

Remember to be careful and not use official Queen’s social media accounts if posting or sharing information about the General Election in a personal capacity. As part of our continued focus on developing leadership capability at Queen’s we are pleased to once again offer the Aurora female-only leadership development programme in late Autumn 2024. 

The application closing date for the programme has been extended to 5.00pm on Monday 8 July.

LAUNCH OF QUEEN'S FIRST ANNUAL SUSTAINABILITY REPORT

Queen's first Annual Sustainability Report has now launched.

Covering the academic year 2022-23, the report captures a wide range of important initiatives delivered across our campus and beyond – addressing sustainability issues in research, operations, teaching and learning, and outreach delivered in collaboration with our key stakeholders and civic partners.

Everyone is encouraged to take a few moments to read it and learn more about all that we are doing to drive forward this work. We will produce this report on an annual basis.

Upcoming sustainability initiatives

Highlighted below are a number of important initiatives which will be rolled out to support our sustainability commitments on campus over the next few months:

  • Introduction of a new secure cycling stand on the Main Site which will hold 48 bicycles – accessible to staff, students and the wider community;
  • Introduction of e-bike charging on the Main Site;
  • Installation of photovoltaic panels (Whitla Hall and School of Mathematics and Physics Teaching Centre) – increasing our on-site renewable energy generation;
  • Upgrade and extension of Electric Vehicle Charging points across the campus;
  • And the launch of new Sustainable Travel Business Guidance and decision tool to individuals to best manage their carbon footprint associated with travel on University business.

To support continuous improvement, we would be grateful if you could let us know how we've been doing on sustainability communication this academic year (2023-2024).

We would really appreciate your feedback on how we communicate on sustainability and what we can do better. 

Last year many of you fed into our Sustainability Communication Preferences Review survey and focus groups to help us better understand how you would like to receive information on sustainability.

  • 65% of students and 63% of staff surveyed responded that they received the information they needed to help them to make sustainable choices and decisions at Queen's in 2022-2023. This is a great start as we roll out our new Net Zero Plan, and the feedback has helped identify opportunities to extend and enhance our communication approach.

Queen’s Pride Picnic

All Queen's staff and students are invited to the third annual Queen’s Pride Picnic on Wednesday 24 July from 12.00pm to 3.00pm. Celebrations will include music, entertainment, food trucks, drinks and an ice-cream cart. This event is free. Further information, including how to register, will be shared soon.

Belfast Pride Parade

Queen’s is proud to confirm that we will be marching in the centrepiece Belfast Pride Parade this year, on Pride Day, Saturday 27 July. All Queen’s staff and students and their friends and families are welcome to join in celebrating LGBTQIA+ people in Belfast and beyond.

Belfast Pride Festival is one of the biggest festivals in Belfast and this year the festival will run from Friday 19 to Sunday 28 July. The Belfast Pride Parade is the main event in the LGBTQIA+ calendar, a major city event and the biggest cross community parade in Belfast.

The Postdoc Society are pleased to announce the return of the Queen's Postdoc Showcase, taking place in celebration of Postdocs and Research Staff, on Monday 16 September in The Malone Hotel, 60 Eglantine Avenue, Malone Road, Belfast, BT9 6DY.

The theme of this year's event is 'Helping to Shape a Better World'. This event is an opportunity for all research staff at Queen's to showcase their research, learn about others' research, and network with other postdocs.

SUPPORT TO CONTINUE IN STUDY

The Education Committee: Student Experience approved a revised Procedure on Support to Continue in Study on the Grounds of Health and/or Safety (previously known as 'Fitness to Continue in Study') for implementation in the 2023-24 academic year. The Student Disability and Wellbeing Service has updated how referrals to Occupational Health are managed where, as part of the process, a student needs to have an independent review of their fitness to study.

The last of these sessions will be held on Tuesday 25 June from 3.30pm to 4.30pm online via MS Teams. Staff can come along and hear about the updates to the procedure and ask any questions they may have.

The Digital Experience Insights Survey is part of a national initiative where data about the student digital experience is gathered from a range of Higher Education Institutions (HEI's) across the UK.

To find out what students at Queen's have said, access the Digital Experience Insights Student Survey 2024 summary report of findings. It includes the perceptions of over a 1,000 Queen's students, enabling us to reflect on their digital experiences and the transformative role of technology in education.

DECLUTTER AND DONATE

Staff are invited to get involved in SU Volunteer's 'Declutter and Donate' campaign, helping to raise funds for the British Heart Foundation's lifesaving research. This is an opportunity to spring clean your space while supporting good causes.

Donations to the campaign will be accepted at the sites detailed below until Sunday 7 July.

Household Items

Items such as clothes, kitchenware, accessories and books can be donated. Everything apart from food, duvets, pillows, knives, hangers, bikes, helmets, and broken/dirty items can be accepted.

Drop your donations into British Heart Foundation collection boxes from 15 April to 7 July at the following locations across campus:

Bikes

If you have an unwanted bike you wish to donate, Big Loop Bikes will refurbish and resell it from their shop on campus, saving it from going to landfill and providing a student with a low-cost bike.

THIS WEEK: SOAPBOX SCIENCE 2024

The Faculties of Engineering and Physical Sciences and Medicine, Health and Life Sciences, in collaboration with PETRONAS, are bringing Soapbox Science back to Belfast on Sunday 23 June. This is the fifth successful event in Northern Ireland.

NAUGHTON GALLERY | CURRENT EXHIBITION: OUTSIDE THE ECHO CHAMBER

As part of the 2024 Belfast Photo Festival, the Naughton Gallery presents Outside the Echo Chamber, the first UK solo exhibition by Berlin-based American photographer Andrew White.

The exhibition continues until Thursday 11 July. The Naughton Gallery is open 11.00am to 4.00pm, Tuesdays through Sundays. Admission is free and all are welcome.

About the exhibition

Shot in 2017 as part of Huck magazine’s Pivot Points: Stories of Change from Huck Photographers, the images in the exhibition were shot entirely on the Kodak Ektra smartphone. For this project, White chose to document his annual Summer tradition of travelling outside of Brooklyn (his home at the time) with a group of friends in tow, in search of swimming holes off the beaten path. Notably, 2017 was Donald Trump’s first year in office as President of the United States, and White found himself stumbling upon moments of pure Americana beyond the comfort of his liberal bubble. Outside the Echo Chamber simultaneously documents community, friendship, and togetherness whilst capturing a glimpse into a nation on the brink of significant change and discord.

About the artist

Born and raised in Santa Monica, California, Andrew White is an editorial and documentary photographer. Since graduating in 2012, White has photographed for such clients as The New York Times, Apple, WIRED, GQ, and more. Since 2016, White has worked for Beyoncé as one of her personal photographers, chronicling her world tours and photographing her private life. In late 2020, White relocated to Europe and is now living in Berlin, Germany.

It celebrates the finest national and international contemporary photography across Northern Ireland’s museums, galleries, and public spaces.

DEVELOPING LEADERSHIP IN EDUCATIONAL PRACTICE

The Developing Leadership in Educational Practice is a programme of study designed to bring together staff who work within the same environment to share good practice and discuss issues to enhance their personal development and wider professional practice. It is intended that you will transfer new-found knowledge to adapt or change the way you work to improve the student experience.

This award recognises the importance of Academic and Professional Services Leaders who have a pivotal role at Queen's. You may join this programme whether you are from a professional service or academic role. Those in leadership roles in the Students’ Union would also be eligible for this programme.

This programme will run from October to May (25 October 2024 to 7 May 2025; 9.30am to 11.30am, offering monthly workshops that will be delivered either in person or online. Both internal and external guest speakers will share their knowledge and insights on leadership. As part of the assessment process, participants must complete reflective activities, a strategic presentation, and a personal development plan.

Participants will:

  • Identify their own professional development goals, directions or priorities;
  • Plan for their initial and/or continuing professional development;
  • Undertake appropriate development activities;
  • Review their development and their practice, and the relations between them.

GPT-4o Release

OpenAI has recently announced the release of GPT-4o. This advanced model accepts as input any combination of text, audio, image, and video, and generates outputs in text, audio, and images. It's much faster and responds to questions at human-like speeds. OpenAI has also provided a series of demo videos to showcase these capabilities.

AI Detection

While the launch of ChatGPT has ignited a surge of interest in generative artificial intelligence (GenAI) tools and excitement in what they can do, there is an equal level of concern regarding the possibility of an epidemic of AI-based cheating. Professor Phil Hanna (Dean of Education, Faculty of Engineering and Physical Sciences) provides Queen's guidance on the use of AI detection tools, highlighting concerns regarding the reliability and accuracy of AI detection tools.
